We currently collect and process the following information:

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To access and use our services, for example by logging in to our systems
  • To keep in touch with you about the services we offer

We also receive personal information indirectly, from the following sources in the following scenarios:

  • In some cases we may use personal information through the course of our work, for example lists of trustees found in charity reports.

We use the information that you have given us in order to provide you with our services or to send you information about the services we provide.

We do not share this information with any third parties, although we may use third party providers such as newsletter providers to store this information.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • (b) We have a legitimate interest.

How we store your personal information

Your information is securely stored. Charizone’s servers are based within the UK and in the EU.

We keep your contact details for up to two years after your last contact with us. We will then dispose your information by deleting the details from our servers and any third party services. We may need to keep some information for auditing purposes.

How we use cookies

"Cookies" are pieces of data created by web sites that store information in your web browser.

Main Charizone Website (charizone.co.uk)

The only cookies we use on the charizone.co.uk site are those that support the essential functions of our site and our tools, such as allowing users to log in.

To get critical information about the behavior of our visitors, we use Simple Analytics. This analytics software gives us insight about our visitors only in general, but not about individuals per say, as it does not track visitors and does not store any personal identifiable information.

Because Simple Analytics does not use cookies or similar technology to identify or track you, there is no reason to request your consent. Go to their documentation to find out what Simple Analytics collects (and most importantly what they don't).

Charizone Tools

For users with access to Charizone’s online tools (but not the main charizone website), we use Matomo to collect analytics data about the behaviour of users. We use this data to understand and errors or issues with the tools as well as understand how we can improve the tools.

Matomo uses a cookie to help track sessions around the site. The following data items are collected as users move around Charizone’s tools.

  • Cookie used to connect views to a single user
  • Date and time of visits and views
  • Title of the page being viewed
  • URL of the page being viewed
  • URL of the page that was viewed prior to the current page
  • Screen resolution
  • Time in local timezone
  • Files that were clicked and downloaded
  • Link clicks to an outside domain
  • Pages generation time
  • Country, region, city
  • Main Language of the browser
  • User Agent of the browser

This cookie and the data above are kept solely by Charizone and are not passed on or made available to any third party.

Our processing of personal data with Matomo is based on legitimate interest. Without the data, we would not be able to provide you the service we are currently offering to you. Your data will be used only to improve the user experience on our website and help you find the information you are looking for.

You can opt out of data collection, either through the use of a “Do not track” setting in your browser, or by unticking the box shown below.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
